Job Title: Event and Campaign Support Position (contracted, three-month temporary position)

Hours: 20 hours/week, part-time, primarily 8AM-12PM with flexing hours for evenings and weekend events
Compensation: $4,800 total contract, paid $1,600 every four weeks

About Us
Columbia Basin Allied Arts is based in Washington’s Columbia Basin, providing a wide variety of nationally and internationally acclaimed arts performances and events to the region’s diverse community. Our office is located at the Wallenstien Theater on Big Bend Community College campus near Moses Lake. Programs include: the Premier Series, comprised of in-theater performances of varying genres including dance, theater and music; the Green Turtle Series, focused on engaging children through theater camps and outreach in public schools throughout Grant, Adams and Lincoln counties; the Civic Series, dedicated to serving new audiences in non-traditional venues and focused on collaborative efforts with other regional arts and cultural entities – events include two festivals in downtown Moses Lake, the ‘Art on Third’ art festival and the ‘UMANI Festival’, a Hispanic heritage celebration; visual arts; and, work as a regional “Local Arts Agency” including shared marketing for regional arts and cultural organizations, fiscal sponsorships and grants for artistic elements of events.
Allied Arts is one of the select few arts organizations to have received the coveted Washington Governor’s Arts Award for Artistic Excellence. Our professional standing in the arts community has been validated by financial recognition from National Endowment for the Arts, Western States Arts Federation, Washington State Arts Commission, Western Alliance of Arts Administrators, Washington Commission for the Humanities, Arts Network of Washington State, Icicle Fund, and Innovia Foundation.

Position Overview
We are seeking a motivated and detail-oriented individual to work closely with Allied Arts staff, volunteers, vendors, and community partners to ensure successful events and campaigns. The selected candidate will provide general operational support, assistance at events including some evening, daytime and weekend events from February 17 through May 16, 2025. This role combines event coordination with administrative and outreach tasks, making it ideal for someone with strong organizational skills, customer service experience, and a passion for the arts.
Key Responsibilities
Event Support:
- Assist with the preparation and organization of evening performance events on: Saturday, March 1 and Friday, March 28; daytime community outreach events on Tuesday, March 4 and Saturday, March 15; and a daytime fundraising event Saturday, May 3. Availability on all event dates is mandatory.
- Assist with pre-event setup, including seating arrangements, signage, and materials including programs and tickets.
- Act as an onsite point of contact for performers, addressing day-of needs or questions.
- Welcome guests, manage check-in or ticketing, and ensure a positive audience experience.
- Monitor event flow, ensure adherence to the schedule, and address any onsite issues.
- Oversee volunteer activities during the event, providing guidance as needed.
- Handle post-event breakdown, including resetting the venue, and compiling event feedback.
Campaign Support:
- Assist with preparing and assembling outreach materials, including letters, postcards, and digital media and mailings.
- Coordinate and maintain accurate mailing lists, ensuring member data is up-to-date.
- Help manage printing, sorting, and distribution of mailings in collaboration with vendors and staff.
- Track responses and assist with follow-up communications as needed.
- Contribute creative ideas to enhance membership engagement and retention.
Qualifications
- Availability on event dates is mandatory.
- Experience in event coordination, customer service, or administrative support (experience in the arts or nonprofit sector is a plus).
- Experience in marketing, professional writing or communications (preferred but not required).
- Strong attention to detail and ability to manage multiple tasks effectively.
- Availability for evening and occasional weekend events, with flexibility for daytime hours during the membership campaign.
- Excellent interpersonal and communication skills, with a focus on building positive relationships.
- Proficiency with basic office software (Microsoft Office or Google Suite) and familiarity with databases or CRM tools (preferred but not required).
- Physical ability to assist with event setup and breakdown, including lifting items up to 25 lbs.
- Passion for the arts and commitment to fostering community engagement.
